Mistake 1: Duplicate lead records fragmenting deal history

When form submissions, chat inquiries, and manual entries all create new records instead of matching to existing contacts, a single prospect ends up as three or four disconnected records. Sales reps work from incomplete history, sometimes contacting the same prospect twice with contradictory information. We fix this with deduplication rules based on email domain plus fuzzy name matching, run as a scheduled job, not a one-time cleanup.

Mistake 2: Silent sync failures between marketing and sales tools

Integration platforms fail quietly far more often than loudly. A field mapping breaks after a CRM update, and leads simply stop flowing — with no error visible unless someone happens to compare record counts across systems. We now build a daily automated reconciliation check comparing lead counts between source and destination systems, alerting immediately on any discrepancy.

Mistake 3: Mismatched lifecycle stage definitions

Marketing's definition of "qualified lead" and sales' definition of "qualified lead" are frequently different — and when both systems use the same field name for different meanings, reporting becomes meaningless and trust between the two teams erodes. We resolve this by workshopping a single shared lifecycle-stage definition with both teams before touching any integration configuration.
